Re: Premises and WinSrv 2008

We are unaware of any specific reason why Premises 2009 will not run under Windows Server 2008. Having said that, it has neither been tested nor verified under the operating system. Premises 2009 is not designed for server-based operation, although the database could be stored on a server for access by client computers running the software.
Are you aware of any technical reason why Premises will not run under Windows Server 2008? I have been asked to assist a non-profit with an existing scenario which includes this Windows Server platform. They have tried to install the software on their own and state they have not been able to get it running.
If you know it won\\\'t work then I won\\\'t waste my time and will try to get it working on another machine in their office.

Release R6

23rd OCTOBER 2009 - hot off the heels of the R5 major release, we\'ve today released the R6 version, with some minor changes and enhanced functionality:

Sales Tax Handling
==============
* Each sales tax rate can now be set with a validity period.
* Multiple sales tax rates can now be set as the default(s) for hire charges, hireable items and retainers. In conjunction with the validity period, this can be used to automatically change the sales tax rates when a rate change applies.
* Option of setting tax date to be the date of invoice (default) or the date of hire, depending on the sales tax regulations in your country.
* For UK VAT, an automatic change from 15% to 17.5% for hire changes has been set to occur on 1st January 2010. Note that this only applies to new databases; this change can be manually added to existing databases very easily.

Booking Charge Calculation
===============
* Improved calculation of booking charges when a booking spans two or more period charges (e.g. a booking from 10am to 4pm when period charges for \'Morning\' and \'Afternoon\' are set)
* Visual indication when no relevant tariff had been set (previously it would show an astromical price, rather than giving an indication that no valid tariff had been set!)

Minor bugfixes
==========
* Solved bug where \"Edit Location\" title did not update when editing a location if the \"Edit Location\" window was already opened.

Release R5

October 8th 2009
=============

We are pleased to announce the long-awaited R5 release of Premises 2009.

Enhancements
===========
* 57 new reports added to system to allow reporting / printing of a wide variety of information
* Comprehensive import and export system added to Premises 2009, allowing information to be copied between databases easily, and speeding up conversion for a third-party system by allowing data to be transferred in CSV format.
* Enhanced internationalisation now allows Premises 2009 to be used in countries where the default currency decimal point is a comma (,) rather than a point (.). This previously caused errors in saving data to the database.
* \'Set as confirmed\' option for bookings added, which allows the booking to be automatically confirmed on saving.
* Calculation of booking charges made faster, especially when there are a number of entries on a booking.
* Additional currency symbols added for a number of currencies.
* Report language extended to include COMBOLIST verb, which allows the user to select information for a report from a combo box without requiring the options to reside on the database.
* Report language extended to include BOOL metatag, which allows differering text dependant on the boolean result of a Yes/No field.
* Report language extended to include \'-\' and \'d\' format flags, which show negative currency amounts and exact dates (without checking for absence of date) - this is required where a database field contains both date and time, and the date section is absent but the time section is valid.

Bug fixes
=======
* Removed the possibility of creating a periodic booking without setting a customer
* Booking charges are automatically recalculated for all entries on a booking when the usage is changed.
* Report language format flag \'D\' fixed to show date only when it is specified (rather than showing 01 Jan 1900).
* Reports are now listed in alphabetical order, making it easier to find the report you want.

Release R4

Release R4 of Premises 2009 is now available. It includes the following enhancements and fixes:

Enhanced templates
===============
Default invoice and credit note templates have been amended to automatically reflect the selected sales tax name. These templates have been renamed as follows:

creditNote_VAT_breakdown_header.txt --> creditNote_VAT_breakdown_header2.txt
creditNote_VAT_breakdown_line.txt --> creditNote_VAT_breakdown_line2.txt
creditNote_VAT_breakdown_footer.txt --> creditNote_VAT_breakdown_footer2.txt
invoice_VAT_breakdown_header.txt --> invoice_VAT_breakdown_header2.txt
invoice_VAT_breakdown_line.txt --> invoice_VAT_breakdown_line2.txt
invoice_VAT_breakdown_footer.txt --> invoice_VAT_breakdown_footer2.txt

Any customisations you have made to the original templates will not be shown automatically; you will need to migrate the customisations over to the new filenames for them to appear on invoices and credit notes. The new tag <SalesTaxName> can be used in any templates to show the selected sales tax name.

Shared Data Path
=============
The default shared data path could not be changed correctly via the Global Settings dialog box previously and required a work-around. This has now been fixed, so that changes to the shared data path are persisted correctly.

Premises 2009 now check the shared data path for validity on start-up and will prompt the user if it is invalid, allowing the default path to be reinstated in required.

For information, the default shared data path is under <LocalApplications>\\Company Works\\Premises 2009.

Multiple-entry bookings
=================
When opening or creating a booking with multiple entries, it was previously necessary to click on each of the lines in order to show the price of each booking as they initially showed a zero price. This has now been corrected so that multiple entries have the prices calculated on opening the booking.

International Sales Tax

Users of Premises 2009 outside of the UK may well have noticed that invoices and credit notes always shows sales tax as VAT, regardless of how you may have set it within global settings.

This is because the invoices and credit notes are created using user-definable templates, which are loaded when you first install Premises 2009. These can be found in the Templates directory of the Premises 2009 user data, which can be found in your LocalApplicationData file.

If you are running Windows XP, this is normally found at C:\\\\Documents and Settings\\\\<username>\\\\LocalSettings\\\\ApplicationData\\\\Company Works\\\\Premises 2009\\\\Templates.

If you are running Windows Vista, this is normally found at C:\\\\Users\\\\<username>\\\\ApplicationData\\\\Local\\\\Company Works\\\\Premises 2009\\\\Templates.

You can edit the templates here manually. To make it easier, we have created three \\\"template packs\\\" for different sales taxes:

For US \\\"Sales tax\\\", download US Sales Tax template pack
For German \\\"MWS\\\", download German MWS template pack
For Australian \\\"GST\\\", download Australian GST template pack

Release R4 of Premises 2009 will ship with a new set of default templates, which will automatically show the sales tax name as selected in the main Premises 2009 software.
Enhancements already planned to be included in version 1.1 are as follows:

New e-mail functions

V1.0 Release Information

Ok, so the release date has slipped slightly to today - 1st June 2009, but not too late!!

It should be on our servers ready for download by 13:00 GMT, so go ahead and download a copy now. As usual, there is a 30-day demo on it, the only limitation on this is that a maximum of 50 items will be exported.

The final list of functions included in version 1.0 is as follows:

1 - E-mail functions and features
a) Extract e-mails to a file using various selection criteria.
b) Extract e-mail addresses to a file or contacts folder, using various selection and de-duplication criteria.
c) Save attachments from any number of files to separate files on your computer and/or remove the files from the e-mail itself. This can dramatically reduce the size of your Outlook data file and make Outlook run faster. Links to the saved attachments still appear on the e-mail itself, allowing you to access them even after removing them.
d) Extract telephone numbers from e-mails to a file, database or contacts folder, using various selection and de-duplication criteria.
e) Sort Inbox automatically to sub-folders by sender address - particularly useful for keeping individual folders for each of your customers or suppliers.
f) Send Warning System - Fully configurable, allows Outlook to warn you if you are about to send an e-mail which could be problematic (for example, with large attachments or to multiple recipients) or which looks like it should have an attachment but you have not attached a file.
g) Smart AntiSpam - Works in conjunction with the Anti-spam systems already within Outlook, to provide better spam-removal. Fully configurable.
h) Smart Export of e-mails to many file types or contacts folders - allowing you to share your Outlook information with many external applications.
i) Store the attachments of a selected e-mail remotely, thus reducing the size of the e-mail, or restore the attachments to the e-mail itself.
j) Delete the attachments of a selected e-mail permanently.
k) Save e-mail thread (including all e-mails in the same thread) to a file.
l) Mark all mail from a senders DOMAIN as junk; Outlook itself only allows you to mark mail from a specific e-mail address as junk. As many junk senders use different e-mail addresses on the same domain each time, this allows greater filtering of junk mail.
m) Mark a subject as denoting a junk mail; Often you may get numerous copies of the same mail but from different senders (often distributed via virus and trojan-ridden computers) - this option allows you to mark a subject as junk, thereby marking any e-mail with the same subject as junk.
n) Mark originating IP address as safe - if you often send mail to yourself (for example from home), this helps to ensure that your mail is not considered junk - as many junk senders use the trick of sending the mail, pretending to be from your own address.

2 - Contact functions and features
a) De-duplicate contacts to merge and remove extraneous entries.
b) Smart Export of contacts to many file types or contacts folders - allowing you to share your Outlook information with many external applications.
c) Show directions to contact; If the contact has a post-code, this option will bring up a Google(TM) route map to the contact, with directions and map.

3 - Calendar and Appointment functions and features
a) View all upcoming birthdays and anniversaries on a single screen.
b) Smart Export of appointments to many file types, databases or contacts folders - allowing you to share your Outlook information with many external applications.

4 - Tasks functions and features
a) Smart Export of tasks to many file types, databases or contacts folders - allowing you to share your Outlook information with many external applications.

5 - Journal functions and features
a) Smart Export of journal entries to many file types, databases or contacts folders - allowing you to share your Outlook information with many external applications.

6 - Notes functions and features
a) Smart Export of notes to many file types, databases or contacts folders - allowing you to share your Outlook information with many external applications.

7 - Miscellaneous functions and features
a) Ability to save any function run (with any settings or customization) to be ran at a later date.

Please also see the thread V1.1 pre-release info for details about features to be added in version 1.1 - this is a free update for all users.

If you have any comments or features you would like to see in CW Outlook Tools, we would love to hear from you!

Creating an e-mail digest

How to create an E-mail Digest for a contact

An E-mail Digest is a single file containing all the e-mails from a particular contact in order, and is very useful for allowing the user to easily access all e-mail conversation between the user and a contact in the form of a simple text file (or word document).

1) Select CWTools --> Email --> Extract Emails from the main Outlook menu to start the Extract Emails Wizard.

2) In STEP 1 of the Wizard, select all folders by clicking on the checkbox to the left of each top-level node to mark it with a tick. Click the Next --> button to continue.

3) In STEP 2 of the Wizard, check the Select items manually before performing action and Group By checkboxes, and select Remote Name from the drop-down box next to the Group By checkbox. Click the Next --> button to continue.

4) In STEP 3 of the Wizard, select the file type by clicking upon it. For an e-mail digest, Plain text file, Internet HTML file and Microsoft Word document types are most relevant. Click the Next --> button to continue.

5) In STEP 4 of the Wizard, and click the Browse button to select a file to save the digest in. Click the Next --> button to continue.

6) CW Outlook Tools will search for e-mails.

7) When complete, STEP 7 of the Wizard (Select Items) will appear. Check the box next to the contact(s) you want to save in this digest file. Click the Next --> button to continue.

8) The file will be created. STEP 10 of the Wizard will allow you to save and/or schedule this action should you so wish.
